Elias Group is seeking an Administrative Assistant to perform a variety of complex and routine administrative and clerical support duties in support of a multi-year contract centered in federal grants management in the Washington DC metro area. This position and requires a practical knowledge of computer applications including word processing, spreadsheet, database, electronic mail, filing systems, and presentation software.

Essential Duties/Responsibilities:

  • Provide direct administrative support, resolve routine questions and problems, direct telephone calls and inquiries to appropriate staff members.
  • Prepare files for archive storage or destruction, as appropriate.
  • Make photocopies, send faxes and e-mails, and perform other office duties on an ad hoc basis.
  • Advise supervisors regarding the need for revisions in administrative procedures and policies.
  • Respond to all routine telephone and e-mail request for information and other types of documentation.
  • Provide administrative staff support to the entire team.
  • Prepare specific grantee correspondence and other reports, and memos.
  • Perform data entry of grant application scoring and peer reviewer comments.
  • Dispatch original form(s) to appropriate offices/officers and maintain appropriate copies to files.
  • Respond to telephone calls and e-mail request from staff and provide other required services in a timely, efficient and professional manner.
  • Use web-based tools in tracking and monitoring of processes (database, call center, etc.).
  • Prioritize tasks within impending deadlines and handle multiple requests via telephone and e-mail.
  • Research and provide immediate follow up responses to routine request for information and/or direction.
  • Draft e-mail and general correspondence using proper business etiquette.
  • Other duties as assigned.

Job Requirement & Qualifications:

  • Bachelor’s degree is preferred but may be substituted in related experience.
  • Minimum of 2 years of professional experience. Experience with grants management (federal, state, local, non-profit) is a plus.
  • Experience managing numerous administrative tasks simultaneously.
  • Requires proficiency in the use of Microsoft Office, the Internet and e-mail applications and experience in the use of data base applications.
  • Effective communication, problem-solving and critical-thinking skills; ability to predict, identify, and resolve issues in a timely and effective manner.
  • Excellent attention to detail.
  • Ability to work well with other team members.
  • Experience with Federal Grants highly desirable.

Environment & Physical Demands:

Work is performed primarily in a standard office environment, but may involve exposure to moderate noise levels. Work involves operation of personal computer equipment for up to six to eight hours daily and includes physical demands associated with a traditional office setting, (e.g., walking, standing, communicating, reading, thinking, concentrating and other cognitive and physical functions as necessary).
